How kBooks uses AI
AI in kBooks does the tedious part and shows its work. A person makes every decision, and the whole of it switches off in one click.
Five promises
AI in kBooks suggests. Every suggestion waits for a person, through the same approval an accountant's suggested entry goes through. Nothing reaches your ledger because a model said so.
A suggested category comes from how your own books handled the same thing before. A drafted correction uses amounts already in your books. When there is nothing to go on, it says nothing.
Every suggestion carries the entries it learned from, one click away. You can always see why before you decide.
Each time AI suggests, drafts or reads something, a line is added to your account's AI activity on the Plan page: what it did, for which company, and who asked.
One switch on the Plan page turns every AI feature off for the whole account. Nothing runs and nothing is sent anywhere until you turn it back on.
What it does today
For bank lines nobody has categorized, kBooks looks at how the same payee was handled before and suggests the account and class. You add each one yourself.
Patterns in your own decisions, offered as rules. Nothing is created until you accept one.
At month end it drafts the corrections the close checklist points to, as suggestions for someone with edit access to approve or decline.
The vendor, date and amount are read on your own device. A hosted model reads a document only if your account turns that on in the document settings and your plan includes it.
Connect the assistant you already use and it can read your invoices, bills, payments, contacts and ledger, never change them. It sees only the companies its key names, stops when AI is switched off, and every read is in your AI activity.
Your data
Your books are never used to train a model - not ours and not anyone else's, on any plan. That is in the privacy policy, not only here.
The features above run on your own books. When a feature uses an outside AI model, the company that runs it is added to the subprocessor list before it is switched on, and only what that one task needs is sent.
The account owner switches AI assistance off on the Plan page. It takes effect at once, for every company in the account.
Suggestions from your own books are part of every plan. An outside model is used only within an allowance your plan states, shown on the Plan page as it is used.
